Position will support two Vice Presidents in Finance and will assist in coordinating other administrative needs for Finance and supervise two Finance Administrative Support Specialists. Duties include but are not limited to:
- runs month-end departmental reports to help manage current year budget
- coordinate and process expense reimbursements
- coordinate and process JP Morgan reconciliations for principals
- perform extensive document revision, including create MS PowerPoint, Word and Excel presentations from documents & notes
- assist in workstation set-up and orientation for new employees and multiple consultants that require various levels of access to Institute applications (orientation registration, computer workstation set-up, furniture, telephone/voicemail, office keys, Institute ID, network access, PeopleSoft access, parking applications, set up meetings with new colleagues)
- approve time reporting through PeopleSoft, weekly (verify accuracy of records on a weekly basis, enter changes where necessary prior to approving batches)
- manage & track contracts with multiple consulting firms for services rendered; create purchase orders for them through PeopleSoft and process invoices in a timely fashion, all of which requiring a high level of organization
- process bonus paperwork for staff
- serve as all-around information center for various inquiries which requires a very broad working knowledge of Institute departments, functions, protocols and procedures
- coordinate office relocations of multiple staff members
- assist in managing equipment and environment operations (office equipment maintenance, heating/cooling, water coolers & supplies)
Job Qualifications:
Bachelor's degree or equivalent experience or training required. College level course work highly desirable. 2-3 years experience in an office setting required, preferably supporting a senior executive or professional group. Supervisory experience is preferred. Experience working in an academic medical/scientific research setting or comparable technology-oriented business environment is highly preferred. Excellent English language reading, writing, and speaking skills required. Demonstrated ability to draft reports, correspondence and other administrative documents as needed. Demonstrated ability to organize meetings and carry out complex scheduling required.
Schedule:
Monday through Friday, 8 a.m . to 4:30 p.m.
