The Senior Associate of Development provides administrative support to AVP of Development and leadership to Annual Giving, Gift Planning and Corporate & Foundation Relations assistants.
Manage AVP’s calendar, phone messages, correspondence, and mail;
Schedule meetings, compile/create agendas and meeting materials, and prepare AVP for daily activity;
Provide proactive fundraising support to AVP by drafting and proofing proposals, acknowledgements, stewardship letters, call reports and briefings; processing gifts; conducting preliminary research on donors/prospects; and tracking gift discussions and portfolio activity in Pledge Maker;
Generate regular reports including monthly/quarterly/annual activity summaries for Annual Giving. Corporate & Foundation Relations, and Gift Planning business units for AVP;
Provide high level administrative support for the Faculty Committee on Philanthropy and maintain Development calendar for Faculty Chair of Philanthropy (currently Stephen Sallan, MD);
Coordinate Corporate Moves Management meetings, including scheduling monthly meetings, preparing agendas, working with Development Research, compiling meeting materials and taking minutes.
Provide administrative support for regional fundraising relationships with satellites and affiliates (facilitating review of fundraising materials from affiliates, preparing AVP for monthly Network Executive Leadership Meeting, etc);
Provide administrative support for faculty/staff and grateful patient giving initiatives;
Assist with strategic planning and year end reporting and analysis;
With support from Donor Relations, plan annual Presidential Rounds Event for donors of $25,000+;
Respond to written inquiries, calls and visits from individual donors and corporate contacts by determining the nature and urgency of the inquiry, suggesting and implementing appropriate response(s) and informing AVP when situation merits his/her attention;
Assist in design and production of written material such as charts, proposals, and PowerPoint presentations;
Interact with institute volunteers, faculty and staff and act as overall liaison with other business units within the DFCI Development and Jimmy Fund office;
Interact with key donors, prospects and sponsors on confidential matters;
Manage bi-monthly assistants meetings to keep AG, C&F and GP assistants apprised of policies and departmental issues with broad implications.
Develop working knowledge of the fundraising system and/or other management information and tracking systems; provide training to all corporation and foundation staff
Maintain hard copy and electronic files for AVP;
Responsible for assisting the entire division in reaching financial goals.
Job Qualifications
Associate degree and/or administrative training degree required; bachelor's degree preferred. 2-3 years administrative experience. Excellent written and verbal communications skills, strong orientation to customer service and donor relations, superior organizational and managerial skills, ability to manage a multitude of projects, and a directed and self-starting attitude are all required. Expertise with numbers and Excel spreadsheets, as well as strong proofreading skills are necessary. Solid computer skills and competency in Microsoft Office Suite products and excellent administrative skills are necessary. Experience with PledgeMaker fundraising software is a plus. A high degree of confidentiality must always be exercised.
Schedule
This is a full time position. Monday - Friday 8:30 - 5:00. Some weekend and evening work may be required
