The Human Resources Staffing Coordinator works closely with recruiters in support of the Institute’s hiring needs and is responsible for the administration of the employment process and on boarding of new hires. The Coordinator will assist recruiters with applicant sourcing, screening and initial interviews during periods of high volume; educate staff and hiring managers on the hiring, visa and on-boarding processes.
PRIMARY DUTIES AND RESPONSIBILITIES:
- Assign newly created positions to recruiter
- Maintain job posting activity
- Educate managers on posting and requirements and process
- Analyze ROI of job board postings; make recommendation based on analysis
- Source, screen and conduct initial candidate interviews
- Maintain pipeline candidate relationships
- Initiate offer letters and track receipt of signed offer letters
- Ensure collection and administration of all paperwork in compliance with Federal and State laws
- Administer background screen, I-9 and E-verify processes
- Maintains appropriate and efficient systems for tracking
- Educate managers and staff on hiring and on boarding process
- Coordination and event planning for internal open houses and external career fairs
- Staff internal and external career events
- Register new staff at New Employee Orientation
- Reconcile monthly advertising charges; track advertising spend to adhere to budget
- Collaborate with advertising agency for print adverting and internal career event initiatives
- Provide support to the International Services Manager
- Consult with staff and managers on visa applications and process
- Prepare travel letters and obtain appropriate signatures
- Process summer hires, clinical and research fellows
- Process administration for unescorted access to irradiators
- Serves as staffing team liaise to external applicants for inquires related to the application process
- Other responsibilities and projects as assigned
