The Senior Development Assistant provides administrative support for the Director of Corporate and Foundation Relations (C&F), high level administrative support for the C&F team and leadership to C&F Assistants.
Provide overall administrative support for Director, including:
Compose original internal and external correspondence including briefings, call reports, cover letters, acknowledgments, communication about publications, and other correspondence; type, format, proofread/edit, and fax/mail correspondence;
Assist in design and production of written material such as proposals and brochures, including using Adobe Acrobat;
Work with C&FR staff, Institute staff, physicians and fellows for collection and preparation of proposal components, i.e. budgets, attachments, supporting documents, etc.;
Steward C&FR proposals and correspondence through approval and signature process, including travel to and from Institute for signature pick-up and delivery, and act as liaison to office of CEO and principal investigators;
Update and maintain acknowledgment log to ensure timely recognition of gifts;
Perform data-entry in fundraising system, including donor contacts and information about gifts/pledges, visits and communication; maintain central files;
Utilize prospect management tracking system and reports due database to manage team interactions with donors on a regular basis;
Identify and track funding opportunities and prepare written summaries for circulation; maintain fellowship and early career funding opportunities spreadsheet;
Research pledge histories and grant requirements for donor correspondence as assigned;
Schedule meetings and donor visits, including reserving space and parking, ordering food, overseeing set-up and operation of audio/visual equipment and staffing meetings;
Order supplies, copy and scan materials, fax, answer phones, facilitate reimbursements, etc.;
Interact with Institute senior staff, physicians, volunteers, sponsors, donors, and prospects on highly confidential matters;
Respond to calls and visits from donors, prospective donors, volunteers and sponsors; determine priority of the situation; suggest response and refer to/inform supervisor as appropriate;
Assist with or manage special projects, such as new prospect identification initiatives, as assigned;
Coordinate across internal business and service units to advance division-wide financial and administrative goals.
Provide C&F Team support:
Act as main contact for general C&F questions and issues;
Responsible for training and providing mentorship with two C&F assistants;
Manage C&F annual budget; assist Director in preliminary numbers for annual budget revision/planning;
Assist Director in developing annual operating plan, mid-course corrections and year-end reporting;
Work with Fiscal & Regulatory Management to reconcile monthly, quarterly and annual revenue totals for gifts and grants and ensure accurate representation in PledgeMaker;
Prepare weekly staff meeting materials and organize annual staff retreat;
Represent C&F in weekly unassigned donor meetings;
Provide back-up support for front desk as requested.
Job Qualifications
Bachelor's degree is preferred as this level position is often considered a "base" for someone pursuing a Development career. Two years administrative experience.Excellent written and verbal communications skills are necessary with a strong orientation to customer service. Superior organizational skills and ability to manage a variety of projects are key. Excellent judgment a must. Directed and self-starting attitude with the ability to work independently as well as part of a team and work with a variety of personalities. Solid computer skills and competency in Microsoft Office Suite products is absolutely necessary.
Schedule
This isa full time position. Monday - Friday 8:30 - 5:00. Some weekend and evening hours may be required. This position has an October 1 start date
