Perform administrative and clerical functions of the Environmental Health and Safety Office;
Triage for incoming phone calls to EH&S office and maintain effective departmental communication regarding triage/tracking of trouble/problem/incident/emergency calls.
Oversee equipment purchases and ensure maintenance of department supplies and manage the P-card process.
Follow established procedures in ordering supplies and materials for department, and track expenditures and process invoices to the Accounts Payable department for timely payment.
Attend/maintain training as needed in DFCI’s procurement system (use of software and procedures)
Ensure contracts and agreements are in place for all EH&S service contracts and vendors.
Serve as primary support for departmental training function, including:
Maintaining the inventory of training materials for all EH&S trainings
Scheduling of trainings and locations
Documenting completed trainings, record management, data entry and validation
Organizing the annual safety retraining initiative with research departments –coordinates with Research Administrators to ensure attendance (98%); books rooms, assures training materials and sign-up sheets are produced.
Perform administrative functions for EH&S Office, including arranging and sending out monthly on-call schedule before the first of each month, processing weekly time sheets, maintaining EH&S mailbox, serve as department keygiver, distribute mail and assist staff with delivery and courier needs, maintenance of photocopiers and other relevant equipment and assisting staff members as needed.
Perform administrative and clerical functions of the Radiation Safety Office; which include:
Support of radiation dosimetry services:
Liaison between the DFCI Radiation Safety Office and dosimetry service providers.
Process additions, terminations, and changes to dosimetry roster.
File and distribute censured dosimetry reports to PIs
Maintain secure copy of all dosimetry files
Receive new film badges and deliver to appropriate staff.
Gather used badges and return to dosimetry contractor for processing
On a monthly basis, verify and assure that fetal monitoring badges are distributed and received by “declared pregnant” females, and reported results are maintained in the tracking file
Maintenance of radiation safety databases.
File survey records as received.
Arranging / scheduling and support for RSO meetings
Processing exposure history report requests, including annual summaries, for review/approval by the RSO, including maintenance of files/logs of requests submitted and completed.
Procedural approval of radioactive materials purchases for DFCI tenant organizations,
Assist RSO with miscellaneous administrative tasks, including preparation of the budget, web site maintenance (content formatting, schedule maintenance, etc.), annual reporting, procedure development, etc.
Support authorization verification, records management, and departmental liason to Human Resources and Security for new and registered users of the irradiators
Management of on-line/network “file shares” for the Radiation Safety Office. Ensure semi-annual review of policies against due dates. Report of policy due dates to RSO on quarterly basis.
Synchronization of the radiation safety section of the EH&S procedure manual
Provide escort for irradiator access
Job Qualifications
Licenses/Certificates Renewal: Bachelors degree
Skills and Abilities: Must have the ability to make administrative/procedural decisions and judgments; skills in organizing resources and establishing priorities; ability to communicate effectively, both orally and in writing; knowledge and experience in the use of databases preferred; familiarity with records maintenance; demonstrated ability to maintain confidentiality; advanced skill in the use of personal computers and related software applications (Word, Excel, Access, PowerPoint), ability to gather data, compile information, and prepare spreadsheets and reports; ability to create, compose, re-format and edit written materials; requires thorough working knowledge of office automation functions; ability to type 50 WPM; excellent interpersonal skills.
